Job Role

Provide clerical/administrative support to Directors and Sales Managers in coordinating and disbursing information relating to sales and service.

SALES ADMIN DUTIES:

  • Review guest arrivals and reservation activity to identify opportunities to create exceptional guest experiences and services.
  • Provide reservation assistance to corporate accounts as requested.
  • Handle inquiries from potential clients about meeting spaces, accommodations, and event bookings, providing information to facilitate the sales process
  • Assist in preparing sales proposals and contracts tailored to the specific needs of clients, outlining pricing, services, and terms to secure bookings
  • Conduct site tours as needed.
  • Maintain on-site hotel sales kits and marketing materials.
  • Attendance and punctuality are essential functions of this position.
  • Coordinate the booking process for meetings, events, and accommodations, liaising with clients, internal departments, and vendors
  • Build and maintain relationships with clients through regular communication, providing personalized service that addresses any concerns or requests
  • Maintain client databases and records, tracking interactions, bookings, and preferences to enhance customer satisfaction and loyalty
  • Conduct market research to identify potential clients, industry trends, and competitive offerings, providing insights to inform sales strategies and target new business opportunities
  • Provide administrative support to the sales team, including scheduling appointments, managing calendars, and preparing documents and presentations as needed
  • Collaborate with other hotel departments to coordinate sales efforts, leverage resources, and maximize revenue-generating opportunities for the hotel

GROUP RESERVATIONS COORDINATOR DUTIES: (This will also be managed by front desk when needed)

  • Processes reservations from the sales office and other hotel departments by mail, telephone, email
  • Inputs changes, and cancels reservations as requested by guests and/or managers
  • Creates and inputs group block and rooming list
  • Identifies and records special billing instructions and records group and transient business codes
  • Processes master arrivals report and prepares pre-stay correspondence for VIP guests
  • Handles daily correspondence and responds to reservation inquiries in a timely manner

Marketing Contribution: (Goaled based off Marketing Campaign Success)

  • Organizing Marketing Campaigns
  • Creating and coordinating marketing content
  • Researching Marketing Trends
  • Managing Social Media Content
  • Pop-up Meetings – upselling food and beverage
  • Small Catering Meetings – 15 or less

Catering Contribution: (Goaled on Catering F, B and Room Rental)

Requirements

  • Requires a minimum of two years of experience in guest contact areas of the hospitality industry. Hotel Experience preferred. Must have one-year previous experience as administrative assistant in related field preferred.
  • High School Diploma or equivalent required. 4-year college degree preferred.
  • Ability to handle multiple customer and operational demands with a high degree of professionalism, operating often with time sensitive deadlines.
  • Ability to use time management skills to complete tasks timely meeting required deadlines.
  • Interpersonal skills to provide overall guest satisfaction for internal/external guests.
  • Ability to work under pressure and deal with stressful situations during busy periods.
  • Skilled with the use of multi-line telephones and with voice mail.
  • Proficiency in the use and operation of computer systems: Word, Excel, PowerPoint, and other systems (i.e., Access, Outlook, and other relevant programs).
  • Office machine experience: fax, photo copiers with sorting and stapling ability.
  • Knowledge of alphabetical filing systems.
  • Excellent communication skills to include the ability to read write and speak the English language to fully comprehend guest requests, memos, proposals, general correspondence and similar written materials.
